How it works
From “on site” to “timesheets & site records sorted” in one loop
It drafts, a human says yes, then it acts, and it writes everything down. That confirm-first rule isn't a courtesy. It's the whole product.

The whole flow, step by step
- Set up your sites. Add each site or location (an office, a client's home, a building site) with optional shift start and finish times, then assign your people. Moving someone? Change their site in the dashboard or with the bot's /assign command.
- Check-in. The worker taps check-in on Telegram and picks their site. That row becomes the record of who worked where.
- Check-out + story. Workers log their shift notes, complete Smart Form checklists, and attach site photos in Telegram or via their no-login link. One narrow AI step makes notes structured, and unsure bits are flagged for you, never guessed.
- Approvals. Your chain (supervisor → bookkeeper → owner, or whatever fits) approves or rejects. Each event is a permanent, timestamped record of who did it and when.
- Nudges. Reminders go out on schedule, tied to the shift times you set for each site, so nobody forgets to check in or check out.
- Timesheet export, Xero & Drive filing. Approved records produce a clean Bookkeeper CSV, push approved hours to Xero Payroll (AU) or Xero Draft Bills (
ACCPAY) for subcontractors, and automatically file standardized PDFs — carrying your company’s own logo & ABN in the top-left header, standardized form codes (SWMS-01,PLM-01,ROOF-01,CLN-03),v1/v2version numbering, and compliance verification ticks (✓) — plus site photos into customizable folders (Company > Site > Date > Forms | Photos | Timesheets) in your own Google Drive or Dropbox (OneDrive coming soon). - Your crew joins in one tap. Your crew taps the join link you share to open ZimQi on Telegram and they're in — no app, no passwords. (No link handy? They can send the join code in chat.)

What you'll need
- Telegram on each worker's phone (free), or a personal check-in link that opens in any phone browser
- Your list of sites or locations, with shift times if you want reminders
- A supervisor or owner to approve
- Your bookkeeper or accounting software (clean Bookkeeper CSV, Xero Payroll AU, or Xero subcontractor draft bills) and optional Google Drive folder (Dropbox also live · OneDrive coming soon)
What ZimQi doesn't do
- Live GPS tracking. ZimQi never follows your crew. If your company turns location on, workers share their location once at check-in and once at check-out in Telegram (never live location). Anything outside the site radius, or not shared, is flagged for review. Exact coordinates are deleted after 90 days; the result stays with the timesheet.
- Award interpretation or shift planning (you assign people to sites; shift times drive reminders)
- Automatic shift optimisation or job costing (you import rosters, log leave, and find cover by skill)
Data and privacy
We collect only what timesheets need, explain it in our privacy policy, and tell your crew when location is being checked. Your data is hosted overseas (Malaysia) and some AI processing happens outside Australia; see the privacy policy for every overseas recipient. We keep a permanent, timestamped record of approvals, edits, exports and admin changes (who did it and when).
Where your data lives today: your data is kept separate per company (database-level isolation) on a server in Malaysia (Hostinger). It is encrypted in transit, and completed site records and photos can be filed directly into your own Google Drive or Dropbox (OneDrive coming soon).
